Terms & Conditions

•    In order to reserve your booking, we require a £100 deposit Payable via PayPal, BACS or Cash. We cannot reserve any events without a deposit.
•    In the event of a cancellation we will refund 75% of the deposit paid if the cancellation is made in writing more than 4 weeks from the event date. No deposit will be refunded with less than 4 weeks to the event date. 100% refund due to Covid related cancellation.
•    All balances must be paid on the event day.
•    Although we always aim to arrive in adequate time for the party in the event that we are delayed on arrival due to traffic or other unforeseen circumstances your booked Gaming time will still be honoured but no discount or compensation will be paid. Game’N”Action LTD reserve the right to cancel any booking taken at any stage up to the time of the event due to circumstances out of our control such as extremely bad weather, staff illness or any unresolvable technical issues. If an alternative date cannot be agreed upon in then all deposits and/or final balances paid will be refunded in full without delay.
•    The service map highlighting the area of which we cover is based on a 45 minute drive from our base postcode KT15. We reserve the right to quote an increased price for locations within our service area map for reasons such as travelling at busier times of the day or any other reason to which our travel time could be increased.

•    We have a minimum age of 7 in the gaming van. We generally only take bookings for 7yo Birthdays for parties held in the months of April, May, June, July and August. We can accept a maximum of 2 children aged 6 within a Party. By the calendar month of May the majority of children attending the party will already be 7 years old (if the majority of the children attending the party are school friends in the same year)
•    After a booking has been confirmed we will send you an online form requesting your permission for us to allow gameplay during the event up to your selected age, our team are in no way responsible for any games played with an age rating over the age of the person playing the game.

•    Every effort has been made to ensure our Van is safe, clean and all together fit for purpose and that it complies with all Health and Safety requirements but anyone entering or exiting the Game’N’Action Van do so at their own risk.
•    No food or drink is to be consumed within our Van unless granted by our team.
•    No smoking or vaping within our Van.
•    All adult members of our staff are DBS certified.
•    Game’N’Action Ltd have a full public Liability insurance which can be requested at any time prior to the event day.

•    Any Damage caused to our Equipment or Van during the event that we deem as a result of improper behaviour or vandalism is not condoned. We reserve the right to charge to the event organiser the reasonable costs of repair or replacement and/or abandon the event without prior warning with no refunds given.
•    Game’N’Action Ltd do not tolerate bad language, threatening or aggressive behaviour within the Van or towards our staff or other members of the event, in reflection to this we reserve the right to remove anyone from the Van as necessary or end the event at any time with no refunds.
•    We reserve the right to request the removal of any member of the event party from the Van if there is adequate reasoning to believe they are under the influence of drugs or excessive alcohol consumption. Failure to comply to these rules may result in a stoppage of Gameplay temporarily or in full.  

•    It is the Event organisers responsibility to ensure there is adequate parking at the agreed location, that the ground is flat enough, (slanted to not good) and there is adequate access to the proposed parking place. Our Van requires 8 metres in length to park. It is your responsibility to liaise with neighbours etc that could block our access, any delays may impact on your booked Gaming time. We reserve the right to abandon any event upon arrival if we can not park safely or access the proposed space safely or without your assistance. In this event no refunds will be made of any amount.
•    Any parking fees are the responsibility of the event organiser.
•    We accept no responsibility for any damage to driveways or ground parked on during the event.
•    In the unfortunate instance that a child or adult vomits or has a toilet accident inside the Gaming Van we reserve the right to pause the event with the extraction of everyone inside to seek to clean the van. Any loss of gaming time will not be reimbursed. If we are unable to clean up to our satisfaction during the event, we reserve the right to implement a one off charge to the booking party of £50 to compensate our time to make good.

•    It is the event organisers responsibility to provide access to 2 standard plug sockets within 25 metres of our parked position, failure to provide this could mean having to abandon the event with no refunds given. Our onboard batteries can stand in for a lack of Power but this is not guaranteed due to the potential they may have been used on a previous event that day.
•    Game’N’Action Ltd holds no responsibility in the highly unlikely event of any damage caused to the power supply for the event.
Age Appropriate Gaming
•    After a booking has been confirmed we will send you an online form requesting your permission for us to allow gameplay during the event up to your selected age, our team are in no way responsible for any games played with an age rating over the age of the person playing the game.

•    Our consoles are checked for game updates on a daily basis but with no prior warning or control over what time or date game updates are released to the world by the game manufacturers we can’t guarantee playability of all games. Although we will always try to make sure all games are available, in the event a game requires an update during a gaming event no liability will be accepted by ourselves for the lack of gameplay for the specific game in question. This includes Fortnite.

•    In the event of unforeseen technical issues on site resulting in less Gaming time or less screens available a discount will be evaluated on a case by case basis after the event.
•    Our Van is equipped to be self-sufficient for online gaming via 4G. In the event we are unable to source sufficient 4G due to bad positioning or in rural areas we may request the use of the event organisers Internet via Ethernet cable. If insufficient internet is still not available then every effort will be made by our staff to not allow this to affect the enjoyment of the event and offline gameplay will be prioritised. We are in no way obliged to offer any discount to the event organiser if certain Games or Gameplay is unavailable due to lack of internet reception.

•    For advertising purposes we often like to take photos and/or videos. These we may use on our website or use on social media. Please make our team aware if you have objections to this. You are also welcome to take photos as you please.

•    The Game’N’Action Van, the gaming consoles within the van and games within them are for private use only. Not for commercial use.
•    Game’N’Action Ltd do not charge a fee to any event / party organiser or the members of any event to play on our consoles, any use of the games consoles is completely free of charge.
•    The fee stipulated by Game’N’Action Ltd to provide our Gaming Parties or attend any event on our website or conveyed in any other way is a hire fee for a set time period with our specially customized van and the A/V equipment (not including the games consoles) providing a one off event environment for up to 10 people. Event participants can bring and play their own games if they want.
•    We reserve the right to amend any service details for example pricing, service maps, offers, time frames of events without notice. Any booked events will not be affected.
